We are currently seeking a full-time, on-site, Administrative Assistant in our TRIO Upward Bound. This position provides clerical and organizational support for TRIO Upward programs. The pay for this position is $15.92.

Primary Responsibilities:

  • Provide administrative support to the department and be the first point of contact.
  • Manage financial transaction related to federal grants and discretionary funds, as well as assist with constructing department budgets.
  • Maintain both the participant files within the Upward Bound database and hard files.
  • Assist with recruitment and selection of program participants, as well as preparing for events related such as orientation, special programming, and any other related event.
  • Manage and coordinate all food components of programs, like workshops, special events/banquets, residential means, and the Summer Food Service Program.
  • Prepare travel arrangements for staff and students such as travel requests, booking flights, reserving hotel accommodations, etc.
  • Manage arrangements for meetings and accurately communicate program information and organized meetings.
  • Effectively collaborate with Purdue Fort Wayne staff and faculty.
  • Manage phone calls, email, scheduling meetings, and student programming.
  • Other duties as assigned.

Required Qualifications:

  • A High School diploma or GED.
  • 2 years of related experience.
  • Knowledge of maintaining informational database and complex records.
  • Ability to comply with university, financial, and programmatic policies and procedures and to maintain accurate financial records, along with other confidential information and sensitive documents.
  • Ability to work independently, display strong decision-making and organization skills, and to multi-task and prioritize when needed.
  • Ability to manage and plan special events and activities, as well as work with a diverse group of people.
  • Strong written and verbal communication skills.
  • Proficiency with desktop computer applications and programs, such as Microsoft Office and Outlook.
  • Must have a valid driver’s license and remain in compliance with the Purdue University Motor Vehicle Records Check policy.

Preferred Qualifications:

  • Familiar with student information systems.
