Associate Vice Chancellor and Registrar

Purdue University Fort Wayne is seeking an Associate Vice Chancellor and Registrar. Under the direction of the Vice Chancellor for Academic Affairs, the Associate Vice Chancellor and Registrar (AVCR) provides leadership for operational, financial, personnel, policy and technology activities for the Office of the Registrar.


The Work: What type of work will you be doing? What assignments, requirements, or skills will you be performing on a regular basis?

  • Serves as a key stakeholder in the integrity of the student information system and steward of student records held by the Office of the Registrar.
  • Responsible for guiding the registrar organizational unit with clear vision and measured outcomes.
  • Serves as PFW's representative to system wide and statewide discussions regarding matters related to registrar functions.
  • Serves on compliance, enrollment management and academic officers' committees.
  • Serves as ex-officio member of the Educational Policy committee and Faculty Senate.
  • Works closely with all enrollment management offices on recruitment, enrollment, and retention issues.
  • In compliance with University regulations and related standards, responsible for oversight of the Office of the Registrar functions including but not limited to the following:
    • Works collaboratively with campus constituents to recommend, plan and implement system improvements consistent with overall organizational and strategic goals.
    • Identifies gaps and opportunities for enhanced service to constituents and propose solutions.
    • Develops academic calendars.
    • Reviews business processes and develop internal office policies and procedures to continuously improve services provided by the Office of the Registrar.
    • Guides campus in conforming with Purdue system wide academic regulations and propose campus policy modifications to that end.
    • Provides end user assistance.
    • Delivers registration services, maintain the campus master course list, manage the schedule of classes, and ensure all class offerings are in compliance with established class scheduling patterns.
    • Oversees processing of grades and certifications for enrollment including certification of NCAA athletic eligibility and procurement and distribution of diplomas.

Job Summary Cont.

    • Oversees the determination of residency classification for continuing students.
    • Oversees the maintenance of requirements to meet degree and certificate programs.
    • Serves as the budget control officer for the Office of the Registrar.
    • Recruits, selects, manages, develops, evaluates and disciplines Registrar personnel.
    • Guides staff efforts by providing direction, priorities, and goals.
    • Maintains and update the campus catalog; prepares accurate and timely distribution of this information through electronic means.
    • Partners with Institutional Research to fulfill state and federal student data reporting requirements.
    • Safeguards academic records, focusing on data integrity, security, information flow, maintenance, developments and enhancements in collaboration with IT Security staff.
    • Ensures transmission and integration of Purdue Fort Wayne campus student data with the Purdue West Lafayette student information system.
    • Ensure transmission and integration of biodemographic, curricular, registration and grade data with the Indiana University student information system for IU Fort Wayne students.
    • Serves as data manager for access to student data outside the campus.
    • Serves as a petition and appeal officer for issues related to registration, academic records, and graduation.
    • Coordinates with other enrollment management units, faculty, staff, students and parents in the resolution of disagreements.
    • Serves as FERPA compliance officer.
    • Provides professional guidance related to FERPA, retention of records, and security and management of student records.
    • Represents Purdue Fort Wayne as appropriate in its relationships with governmental agencies, professional societies, and the Purdue system wide organization.
    • Serves as ex-officio member of the Educational Policy committee and Faculty Senate.
    • Serves on campus compliance, enrollment management and academic officers' committees.
    • Provides leadership for major initiatives.
    • Other duties as assigned.



What are the position essentials required as an Associate Vice Chancellor and Registrar?


  • Master’s degree in information management, public administration, business, or related discipline.
  • Ten years or more of substantial experience in registrar functions and management of registrar functions at a comprehensive university.
  • Strong technical skills in student information systems and degree audit applications.
  • Demonstrable experience in system implementation, upgrades and process improvement.
  • Skills/knowledge of data management/analysis/reporting/student development and learning.
  • Knowledge of state and federal regulatory rules related to managing college enrollments and application of such to a higher education environment.
  • Extensive knowledge of the Family Educational Rights and Privacy Act (FERPA) and application to related issues.
  • Ability to effectively communicate and enlist cooperation of individuals at all levels across the campus.
  • Supervisory experience with the ability to motivate staff through change management initiatives.
  • Knowledge of and experience in budget management.
  • Strong sense of ethics, discretion required.
  • Excellent at decision making, problem solving and dealing with ambiguity.

  • Doctorate degree in information management, public administration, business, or related discipline.
  • Experience with Banner and experience in a multi-campus system.
