Senior Administrative Assistant, LGBTQ Center

Job Summary

This role will support four staff members, maintain staff calendars, and share supervision responsibilities for undergraduate and graduate student employees and volunteers.  Responsibilities include serving as the office coordinator in a dynamic environment which includes greeting, screening, assisting, and directing visitors as well as engaging with students, leading impromptu tours of the Center, and answering visitor questions about LGBTQ+ resources and related services.  The person in this role will liaise with the business office, purchase office and event supplies, track and reconcile expenses, and advise staff on current purchasing policies.  Additional responsibilities involve supporting programming/events throughout the year:  reserving venues, developing itineraries, securing equipment, contacting vendors, making travel reservations, and other logistics as needed.  Other office responsibilities include managing a general email inbox, responding to requests for general information, drafting or editing correspondence for internal and external stakeholders, and compiling data into reports and presentations.

What We Need:

  • High School Diploma/GED
  • Three or more years of experience in an administrative support role
  • Excellent verbal/written communication skills
  • Ability to multi-task, prioritize, meet deadlines, and work in an environment with frequent interruptions
  • Ability to work with diverse populations
  • Ability to maintain confidentiality
  • Strong organizational/time management skills along with attention to detail
  • Advanced computer and related software skills including Microsoft Suite (Word, Excel, PowerPoint, Outlook) and Google Suite
  • Ability to collaborate and communicate with individuals at all levels within and external to the university
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes

What is Helpful:
