Senior Administrative Assistant
Job Summary
This position serves as the graduate program coordinator, maintaining day to day administrative operations for our MS and PhD programs. The individual works independently with oversight by the Director of the Nutrition Science Graduate Program and the Operations Supervisor/Assistant to the Head. Responsibilities include organization of incoming graduate applications, communication with applicants and faculty, collection of relevant data, updating graduate webpages, maintaining the graduate handbook, helping students register for courses, maintaining and helping to approve the plan of study for each graduate student, scheduling outside speakers for the graduate seminar (NUTR 69500; weekly presentations in both fall and spring semesters), keeping track of graduate student teaching assignments and how faculty plan to fund their students, and planning/implementing a yearly graduate recruitment event. The individual will also work with the Director of the Graduate Program to track data for training grants and internal as well as external reports. This individual also serves as a point person for the graduate students, helping to direct them to the correct forms, answering their questions, etc. The position is expected to identify issues and put forth solutions to the supervisor and requires interpretation of policies and procedures to resolve concerns and answer questions from prospective and current grad students. Other duties as assigned.
Required
- High school diploma/GED.
- 3 years of experience in an administrative support role.
- Excellent verbal and written communication skills.
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
- Strong organizational and time management skills and attention to detail.
- Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
- Ability to interpret policies and procedures to proactively resolve issues or improve processes.
- Ability to identify problems and implement or recommend solutions.
- Drafting, proofreading and editing skills.
