Job Summary

Supporting the holistic academic experience of a student requires effective planning and coordination – between the advisor and student, the student and faculty, the advisor and faculty, and the advisor and the university at-large. This position helps guide Industrial Engineering (IE) students through the IE program in a manner that best meets their needs while satisfying the IE curriculum requirements and their overall professional and personal development.

 

Duties will include: advising current students, and meeting with prospective students and families; guide student in developing a plan of study that meets degree requirements; communicate and collaborate with other School advising staff, the College of Engineering, the Registrar, the Dean of Students and other University Offices, to maximize student access and success.  Empower students to be active responsible learners and assist them in making well-informed decisions.  This position also ensures that the department and students execute the appropriate policies and procedures to move the students through the process, and creation and maintenance of appropriate records.

 

Developing knowledge of the IE undergraduate curriculum, broader engineering principles and concepts, the discipline of IE, and direction of the IE profession are key drivers of success in this position.

What You'll Be Doing:

Undergraduate Student Advising

  • Assist students in evaluating and determining their interests and abilities, and help students link their interests/abilities with majors/programs
  • Assist students in the creation of short and long term curricular and co-curricular goals
  • Guide students in developing a plan of study that meets all degree requirements and fits within their timetable for graduation
  • Provide information regarding curricular and co-curricular programs and opportunities including Study Abroad, Honors, 21st Century Scholars, Leadership Development, etc.
  • Communicate with students regarding difficulties they are having with a class or classes; and provide support for students who are on academic probation.
  • Confer with prospective and current transfer students regarding application of transfer credits and course equivalencies
  • Consult with each advisee at least one time a semester to review plan of study and academic history, conduct unofficial audit, discuss progress, discuss co-curricular and extracurricular activities, answer questions, and issue PIN
  • Share knowledge with students about undergraduate/professional programs and faculty, appropriate course selections, departmental policy, and specific program information to various constituents
  • Conduct audits on student’s progress toward their degree, including precertification audit the semester the student is a candidate, licensure
  • Maintain certifications related to handling student data (e.g. FERPA, GLBA)
  • Provide guidance about graduate/professional school; career/internship opportunities and the job search process; and help students link learning and professional preparation in the workplace
  • Interpret and apply university policies and procedures, keeping abreast of changes
  • Provide nominations for, and recognition of students

 

Administrative Support

  • Complete necessary paperwork and forms for proper maintenance of student records
  • Enter course requisite overrides in appropriate systems
  • Participate in staff meetings
  • Participate in COGNOS and Banner training/updates
  • Communicate scheduling issues to appropriate designee
  • Assist with the processing of undergraduate fellowships, scholarships, and awards.
  • Assist with creation, maintenance, and distribution of documents issued by the program offices.
  • Assist with data collection & reporting, and maintenance of departmental academic databases.
  • Supervise academic office student support staff
  • Assist with distribution and management of textbooks.
  • Assist with the facilitation and organization of invited speakers for IE functions
  • Assist with the organization and preparation of departmental events and activities (e.g., commencement receptions, campus visitors, picnics, and student organized activities).
  • Support the Department Head, Assistant Head, Assistant Director of Student Experience, the Director of Operations, and the School as needed.

 

Communications

  • Respond to emails and phone calls from students & family, faculty, and university staff; encourage a trusting relationship
  • Provide student letters of recommendation, at discretion of advisor
  • Make explicit students’ responsibility for their own academic and professional success
  • Build and maintain contacts with other College/Department advising units
  • Help organize student recognition events.
  • Facilitate student contact with prospective employers and monitors student placement.

 

Curriculum Support

  • Help document the IE curriculum, including technical elective options
  • Identify course and curriculum information for University bulletins, the IE web site, and other publications.

What We're Looking For:

Education and Experience:

  • Master’s degree in higher education or related field
  • One year of student advising, recruitment, or other student-facing experience
  • Preferred: Master’s degree in Student Services, Counseling, Higher Education Administration, or field related to the majors advised

 

Skills needed:

  • Excellent communication (oral/written) and interpersonal skills
  • Knowledge of academic advising
  • Demonstrated ability to interpret and administer academic policy as necessary
  • Must be able to collaborate with faculty, staff students and parents
  • Must have excellent organizational skills, ability to multi-task, establish priorities, and resolve conflict
  • Basic skills in Outlook, Word, Excel, and PowerPoint 

 

Nice to have:

  • Knowledge of programs and majors at Purdue University 
  • Familiarity with MyPurdue, Banner, COGNOS
