Job Summary
Provide administrative support for an individual, group of professionals, department, program or other administrative function. Perform a variety of administrative tasks including maintaining calendars, scheduling meetings and events, arranging travel or handling incoming inquiries. Create agendas, flyers, or promotional materials. Update and maintain websites, databases and mailing lists.
Assist with course-related tasks for a variety of faculty using Brightspace and other software. Coordinate and schedule meetings. Make travel arrangements and file reimbursements for faculty and graduate students as needed. Work with Space Management and Academic Scheduling to reserve classrooms for meetings, course reviews, etc. Assist with special projects and arrange seminars and workshops; arrange itineraries for prospective faculty candidates including meetings with faculty, luncheons, hotel arrangements, transportation, etc. Serve as backup to other ECE administrative assistants and perform additional responsibilities, as assigned. Assist with course responsibilities such as exam preparation, seating assignments, and utilizing Brightspace and other course related software (e.g. Gradescope, Piazza.) Provide additional support to faculty efforts in conference and other technical materials. Make travel arrangements and submit reimbursements using the Concur system. Serve as backup to other administrative assistants in ECE. Serve as admin support for the Corporate Partners Program which supports events such as SPARK and Boilermaker circuit. This includes tasks such as geting specific position descriptions that the Corporate Partners may have in mind, reserve space and AV needs addressed ahead of the events, getting the material from Partners for the events, reserving parking, and support the Startup Forum

What You'll Be Doing:
- Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes.
- Compose routine correspondence and draft non-routine correspondence.
- Proofread various documents, reports and presentation materials.
- Collect data for use in reports, presentations and meetings.
- Assist with small event coordination, including room reservations, setups, resource needs, and catering.
- Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment.
- Update and maintain mailing lists, databases and websites.

Education and Experience
Qualified candidates will need:
- High school diploma/GED
- Two (2) years of experience in a clerical or administrative support role.
Skills needed:
- Excellent customer service, verbal, and written communication skills.
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
- Strong organizational and time management skills and attention to detail.
- Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Typing, drafting, filing, data entry, proofreading and editing skills.
- Ability to identify routine problems and implement or recommend solutions
