Job Summary

This position will support the Office of the Vice Provost for Student Life.  This position serves as administrative support to both the Vice Provost for Student Life and the Senior Director of Operations.  In this role you serve as the office manager supporting the OVPSL department; serving as the Technical Coordinator, managing day-to-day needs of staff requests, assist with divisional awards processes, responsible for on/off-boarding of new employees for the department, responsible for excellent organization and record keeping. Must maintain professionalism at all times and be able to communicate clearly and quickly with sound judgement around the topic/information. Coordinate travel arrangements, itineraries, reimbursements and accommodations for the Vice Provost and reporting senior staff for all travel from beginning to completion of submitted documents upon return.

What We Are Looking For

 

Education and Experience: 
Required:

  • Bachelor’s degree in communications, business administration, management, or a related field
  • Minimum of 0 to 1 year of experience in a senior or lead administrative support role or equivalent experience
  • An equivalent combination of education and experience may also be considered 
    • For example, an Associate's degree and 2.5 years of experience or a High School Diploma/GED and 4.5 years of experience

 

Skills:
Required:

  • Excellent written, verbal and interpersonal communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc. 
  • Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needs
  • Skilled in interpreting policies and procedures to proactively resolve issues
  • Ability to identify problems, generate ideas for improvement, and implement or recommend solutions
  • Ability to use discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomes
  • Ability to use discretion regarding when to involve the senior leader or Executive, when to resolve issues independently, or when to engage others
