Overview of Graduate Program Coordinator
The College of Technology (COT) at Purdue University Northwest (PNW) is seeking a Graduate Program Coordinator. The Graduate Program Coordinator will provide administrative support for Graduate Studies to the Associate Dean. This position will serve as the principal functional liaison between the Associate Dean, and the COT Dean, Department heads, faculty, staff, and students, as well as other University offices, such as the Graduate School, Enrollment Services and the International Programs office.
Schedule:

Monday - Friday, occasional weekend (at most 1 weekend a month with half-day work)

8am – 4:30pm (30 minutes lunch break)
Duties and Responsibilities of Graduate Program Coordinator

Provide administrative support for Graduate Studies to the Associate Dean

Maintain personnel, administrative and academic records
-
Respond to inquiries of Graduate Faculty relating to the Graduate Program policies and procedures.

Coordinate and attend GEC and GSAC meetings

Plan and execute special events
-
Coordinate training sessions for instructing Graduate Aides

Assist with processes of hiring Graduate Aides for faculty

Provide functional supervision of Graduate Aides and Student Workers

Responsible for budget management, data analysis and tracking of expenses for Graduate Program funds

Handle and distribute confidential materials

Schedule semester classes in Unitime with approval from Accociate Dean and Department Chairs

Interpret and respond to inquiries relating to graduate admission, student registration, Plan of Study submissions, program/degree completion requirements, and other University policy and procedures

Perform functions that support and advance the CoT graduate school which directly impacts admission and retention of students

Verify and approve accuracy of and changes to the Graduate Student Plan of Study

Work directly with graduate students and graduate faculty, solving problems and resolving discrepancies

Education of Graduate Program Coordinator

Bachelor’s degree required.
Experience of Graduate Program Coordinator
- Four years’ of clerical and high level administrative support experience required
- Higher education academic setting a plus
- Work experience in graduate-level admission, registration, electronic Plan of Study processes preferred

Knowledge of Web-based applications and Microsoft Office Suite

Access or database knowledge

Familiarity with an online student information system, preferably Banner, Graduate Database, and/or Telecommunications Slate

Experience with budget management

Ability to effectively and diplomatically interact with a diverse population on all levels

Ability to take initiative, work with minimal supervision, and explore capabilities to enhance productivity

Ability to have good judgment and discretion in the handling of confidential information
