Job Summary
The Lead Administrative Assistant for the Study Abroad Office will serve as a liaison for the Director with faculty and staff, other offices within the University, and contacts outside of the University. This individual will provide direct administrative support to Director including but not limited to management of schedule, travel, purchasing, and document management. Additionally, the Lead Administrative Assistant will communicate, interpret, and explain University and office policies and procedures to staff, plan and manage projects and special events for the Director and plan and coordinate all aspects of visits of international guests from partner universities.
This position will also have input and oversight of office organization and will hire, supervise, train, and delegate work, plus serve as liaison to the business office and perform purchasing as needed. The Lead Administrative Assistant will provide administrative support to other staff across a variety of administrative needs, as required.
What We're Looking For:
- High school diploma/GED
- 4 years of experience in an administrative support role
- Excellent written, verbal, and interpersonal communication skills
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
- Strong organizational and time management skills and attention to detail
- Advanced computer and related software skills including Word, Excel, PowerPoint, Outlook, Internet, etc.
- Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
- Ability to interpret policies and procedures to proactively resolve issues or improve processes
- Ability to identify problems and implement or recommend solutions
- Drafting, proofreading, and editing skills
- Ability to lead others and provide direction and constructive feedback
