Job Summary

This position involves serving as Graduate Studies Administrator for the School of Interdisciplinary Studies graduate programs as well as Schedule Deputy. Familiarity with policies and procedures for administering graduate students and/or familiarity with academic programs and university procedures regarding class and course/instructor scheduling preferred. 

 

Schedule Deputy:
This is a critical position for the daily operation of SIS. The Schedule Deputy will assist the Head and the Associate Head developing course schedules required each semester by our School, CLA and University wide, in addition to instructor assignments, including submission of all section and schedule files in the UniTime system.  Serve as main liaison with University scheduling and the Registrar's office for all course/instructor/class scheduling issues, in addition to being the main contact for student inquiries regarding class schedules.  Communicating with all instructional staff and faculty on all course/teaching schedule issues, and with a diverse audience at various levels across campus.  Review and process all requests for class overrides.  Use Cognos, UniTime and Banner systems daily.  Coordinate, execute and disseminate data for teaching evaluations & final exams.  Prepare/submit Fall, Spring & Summer Payroll reports to Business Office and Tuition Remission report to Bursar, in addition to maintaining other departmental data reports as needed. 

 

Graduate Program Administrator:
The Graduate Program Administration Specialist works under the immediate supervision of the Department Head and the Graduate Program Chair.  In this role, the administrator will provide direct support to SIS faculty, staff and graduate students while administering and advising Master and PhD students in our Graduate Programs in Linguistics and American Studies.  Duties include implementation of department, college and university policies and procedures while working as a liaison between SIS and the Graduate School; provide program direction to graduate students and faculty as needed; conduct a variety of administrative tasks related to graduate applications, admissions, and TA contracts that are spread throughout the year, concentrated particularly in the second half of Fall semester and the first half of Spring semester; communicate and (as is feasible) keep  in contact with SIS graduate alumni and keep records on graduate student job placement (both academic and non-academic jobs).

Duties and Responsibilities:

  • Perform non-routine administrative functions; conduct research, prepare reports and presentations, respond to information requests, and manage correspondence.
  • Maintain calendars, schedule meetings, prepare agendas, and collect and provide support materials.
  • Compose routine correspondence and draft and edit non-routine correspondence.
  • Develop, implement, and maintain/improve processes related to administrative support operations (e.g., records maintenance, data collection and maintenance, etc.).
  • Coordinate events, including room reservations, setups, resource needs, and catering.
  • Arrange travel, order supplies, and ensure proper functioning of office equipment.
  • Update and maintain mailing lists, databases and websites.
  • Mentor and/or train other support staff.
  • May monitor operating budget and maintain financial records.

Required: 

Requires a high school diploma/ GED. Minimum of 3 years of experience in an administrative support role. 

  • Excellent verbal and written communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
