Job Summary

This position serves as the first point of contact for the Office of the President, greeting visitors, screening calls and walk-ins, and providing information or referral to appropriate university offices.  The role is responsible for coordinating and tracking all incoming and outgoing correspondence, maintaining the President's conference room schedule, arranging visitor parking, and ensuring the office's reception space is well maintained and prepared for daily operations.

In addition to supporting the Executive Assistant to the President, this position provides administrative support to the General Counsel.  The role requires high-level discretion and confidentiality, as unauthorized disclosure of sensitive information could have serious consequences.

This position also provides assistance to Cabinet Level members when asked or needed as well as servng as backup for the logistics and scheduling specialist.

This position liaises frequently with other university offices to facilitate smooth daily operations within the President's office.

What We're Looking For:

  • High School Diploma/GED
  • Four or more years of experience in an administrative support role
  • Excellent written, verbal and interpersonal communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
  • Ability to lead others and provide direction and constructive feedback
