Job Summary
The Administrative Assistant will provide high-level administrative support within the School of Electrical and Computer Engineering (ECE), including supporting faculty members in BHEE/MSEE/WANG when the needs arise. This position supports the associate heads of ECE (five), the Director of Operations, and tasks associated with Development, Event Planning, and Marketing/Comm teams. This position will also serve as receptionist to the head’s suite.

What You'll Be Doing:
- Serve as receptionist for the Head’s suite as well as support for all associate heads (five)
- Welcome and direct all visitors to the School
- Serve as liaison for PISA (International Students and Scholars), processing visa applications for faculty, staff and students
- Manage department credit cards including reconciling correct users and accounts
- Serve as assistant to the Events Coordinator and assist with all events across the School, including Indianapolis
- Serve as admin assistant to the Director of Operations, handling tasks as assigned
- Serve as a backup admin assistant for the BHEE/MSEE/WANG faculty members during major ECE events

What You'll Be Doing:
Education and Experience:
- High School Diploma/GED
- Four (4) years of experience in office setting performing clerical and/or administrative duties
Skills needed:
- Strong oral and written communication skills including telephone etiquette, planning, public relations, proofreading, drafting, editing and disseminating correspondence and reports.
- Excellent customer service skills and professionalism in dealing with students, staff, and faculty.
- Quality interpersonal skills with the ability to influence and build strong working relationships among a diverse workforce at all levels.
- Strong organizational and time management skills with emphasis on accuracy and attention to detail.
- Motivated individual with the ability to efficiently multi-task, work under pressure, handle frequent interruptions and meet deadlines.
- Ability to identify and determine problems and implement solutions.
- Ability to analyze data.
- Capable of taking initiative, assuming responsibility and handling confidential information with discretion.
- Must be able to work individually and contribute to a team environment.
- High proficiency in Microsoft Software including Outlook, Excel, Word, PowerPoint.
