Job Summary
The Tarpo Department of Chemistry is seeking a dependable and self-motivated individual with strong communication skills to provide administrative support to faculty in a dynamic academic and research environment. This position requires the ability to work independently, manage multiple tasks efficiently, and collaborate effectively with internal departments.
Key Responsibilities
- Seminar Coordination: Organize departmental seminars and events, including communicating with guest speakers, arranging travel and accommodations, and preparing itineraries
- Communication and Materials Preparation: Draft and distribute promotional materials, agendas, and other documents
- Administrative Support: Assist faculty and graduate students with travel arrangements, reimbursements, and daily administrative needs
- Internal Collaboration: Serve as a liaison with the business office, Science IT, procurement, and other campus units to support operational needs
- General Office Duties: Maintain files and records, distribute departmental credit cards, and support data collection and reporting efforts

Organization: Provide administrative support for individuals, teams, departments, or programs, ensuring smooth daily operations
Scheduling: Maintain schedules, arrange meetings and events, and coordinate travel logistics
Communication and Collaboration: Prepare agendas, flyers, and promotional materials and disburse. Collaborate with the business office, procurement center, and IT staff
Administrative Tasks: Assist with reports, surveys, and documentation that contribute to departmental success. Update and maintain websites, databases, and mailing lists

What We're Looking For
Education and Experience Needed:
- Requires a High School Degree or High School Equivalency (HSE)
- Minimum of two (2) years of experience in a clerical or administrative support role
Skills Needed:
- Excellent customer service, verbal, and written communication skills
- Strong organizational and time management skills and attention to detail
- Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Typing, drafting, filing, data entry, proofreading and editing skills
- Ability to:
- handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
- identify routine problems and implement or recommend solutions
