Job Summary

The Administrative Assistant supports the efficient daily operations of a University department, program, or cultural center by coordinating administrative processes, managing information flow, and providing frontline support to students, staff, and visitors.

 

Key Responsibilities

  • Provide administrative support to full-time staff and professional teams within the department, program, or cultural center.

  • Manage calendars for staff and center operations, including scheduling meetings and events.

  • Coordinate travel arrangements and related documentation for staff and guests.

  • Serve as the primary point of contact for the cultural center, overseeing front-desk operations and responding to in-person, phone, and email inquiries.

  • Manage the center’s main email inbox and handle internal and external correspondence.

  • Maintain staff, center, and event calendars to ensure accurate and timely communication.

  • Plan and coordinate logistics for programs and major events, including space reservations, catering, equipment rentals, permits, vendor documentation, and travel and lodging arrangements.

  • Prepare agendas, flyers, and digital promotional materials to support center programs and initiatives.

  • Maintain and update websites, databases, mailing lists, and social media platforms.

  • Assist with the preparation of reports and other documentation to support operations and assessment.

  • Serve as building deputy by overseeing facility-related needs, ensuring accurate signage, and coordinating services with campus facilities in alignment with university policies.

  • Liaise with the business office and procurement to manage purchasing, track and reconcile operational and grant-related expenses, and advise staff on financial policies and procedures.

  • Collect, manage, and analyze visitation and engagement data to inform outreach, programming, and reporting.

What We're Looking For

Education and Experience:

  • High school diploma/GED
  • Two (2) years of experience in a clerical or administrative support role

 

Qualified candidates will need:

Skills:

  • Excellent customer service, verbal, and written communication skills.

  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.

  • Strong organizational and time management skills and attention to detail.

  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.

  • Typing, drafting, filing, data entry, proofreading and editing skills.

  • Ability to identify routine problems and implement or recommend solutions.
