Job Summary

The Administrative Assistant serves as one of three front-office support staff members for Counseling and Psychological Services (CAPS). This position supports daily office operations, including maintaining confidential records, managing data in the electronic health record system, greeting and directing clients and visitors, answering incoming phone lines, and scheduling appointments, including for clients in crisis situations. The Administrative Assistant works closely with psychiatric providers, CAPS sub-teams, and other administrative staff to ensure efficient, professional, and compassionate service delivery. This role requires strong attention to detail, discretion, and the ability to handle sensitive information in a fast-paced environment. Preferred qualifications include three years of experience in a clerical or administrative role.

What We're Looking For

Education and Experience Required:

  • High school diploma/GED
  • Two (2) years experience in a clerical or administrative support role

 

Preferred:

  • Three (3) years of experience in clerical or administrative role.

 

Skills Required:

  • Skills in data entry and data manipulation, composition, proofreading, organization, and interpersonal communication.

  • Ability to work under pressure.

  • Ability to work with interruptions, set priorities for your own work, and interact effectively with a variety of people, including those in crisis situations.

  • Self-starter with good judgment and the ability to complete unexpected tasks and requests in a timely manner.

  • Strong attention to detail and professionalism.

  • Ability to maintain confidentiality in all work.

 

Preferred:

  • Knowledge of psychology terminology.
