Job Summary
The Office of Interdisciplinary Graduate Programs (OIGP) administers multiple interdisciplinary graduate programs that foster collaboration across many departments and colleges. This role will support the Graduate Program Specialist with Admissions and recruitment events. Responsibilities also include performing a variety of administrative tasks including maintaining calendars, scheduling meetings and events, arranging travel or handling incoming inquiries. May create agendas, flyers, or promotional materials. May update and maintain websites, databases, mailing lists and processing of receipts. This role will also assist in preparing reports, recording and distributing minutes along with composing routine correspondence and drafting non-routine correspondence. The Administrative Assistant will serve as receptionist for OIGP.
Duties and Responsibilities
- Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes
- Compose routine correspondence and draft non-routine correspondence
- Proofread various documents, reports and presentation materials
- Collect data for use in reports, presentations and meetings
- Assist with small event coordination, including room reservations, setups, resource needs, and catering
- Arrange travel, order supplies, maintain organizational files, make copies, distribute
- Update and maintain mailing lists, databases
What We're Looking For:
- High School Diploma/GED
- Two or more years of experience in a clerical or administrative support role
- Excellent customer service, verbal, and written communication skills
- Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
- Strong organizational and time management skills along with attention to detail
- Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Typing, drafting, filing, data entry, proofreading and editing skills
- Ability to identify routine problems and implement or recommend solutions
What Is Helpful:
- Event planning and coordination and academic experience
- Experience with survey building tools such as Qualtrics
