Administrative Assistant

The Administrative Assistant will provide receptionist duties for the Office of the Dean and administrative support to the Senior Associate Dean in the College of Health and Human Sciences.  Additional responsibilities include collecting and distributing mail; ordering office supplies; coordinating small or large meetings/events; and maintaining the monthly email lists for faculty and staff within the college.

 

Support for the Office of the Dean includes:

  • welcoming guests and providing assistance when needed
  • keeping a positive and constructive relationship with guests
  • answering routine inquires
  • answering the telephone
  • directing calls and requests to the appropriate staff

 

Administrative support for the Senior Associate Dean for Administrative and Academic Affairs includes:

  • managing day-to-day activities
  • reviewing and updating calendars
  • responding to questions from unit heads and other faculty
  • providing requested information about college policies and procedures, and data about college activities and achievements
  • preparing and/or editing messages about undergraduate academic affairs, graduate education, research, or administrative matters for the associate deans

 

Required:

  • High school diploma/GED
  • Three (3) years of experience as a receptionist or office assistant
  • Experience composing and editing communications
  • Strong verbal and written communication skills
  • Excellent time management skills
  • Strong collaboration and customer service skills
  • Broad knowledge of operational systems and practices.
  • Ability to handle confidential information with discretion
