Administrative Assistant, LGBTQ Center

Job Summary

The Administrative Assistant position will support three staff members, maintain staff calendars, and share supervision responsibilities for undergraduate and graduate students and volunteers.  This role will serve as office coordinator and be responsible for greeting, screening, directing and assisting visitors as well as engaging with students, leading impromptu tours and answering visitor questions about LGBTQIA+ related services.  Responsible for maintaining event calendars and checking books in and out for the LGBTQ Center library along with restocking safer sex supplies.  This person will liaise with the business office, purchase materials, track and reconcile expenses, coordinate with Procurement Services and advise staff on current purchasing policies.  This role will coordinate major events by handling logistics, reserving space, renting canopies, chairs, tents, stage, tables, A/V equipment, securing catering services, arranging w-9 forms, hotels, and travel for invited speakers.  Assists with weekly Fabulous Friday events; coordinates presentations and faculty requests for Speakers Bureau panels.  This person will also compile data into reports and presentations along with managing general inbox including internal and external correspondence.  This role will respond to requests for information as well as draft general correspondence for internal and external stakeholders.

Required:

  • High School Diploma/GED
  • Three or more years of experience in an administrative support role
  • Excellent verbal/written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
