Administrative Assistant

Job Summary

The College of Veterinary Medicine is seeking an administrative assistant to support the Basic Medical Sciences department. The successful candidate will maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes. Responsibilities will also include: compose routine correspondence and draft non-routine correspondence; proofread various documents, reports and presentation materials; collect data for use in reports, presentations, and meetings; assist with small event coordination, including room reservations, setups, resource needs, and catering; arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment; update and maintain mailing lists, databases and websites; serve as backup ISS liaison and assist students and scholars with inquiries and needs; provide additional faculty support; assist with faculty hiring and promotion; assist with scheduling needs of departmental guests and course seminars; handle work order requests and maintain equipment and inventory lists; record and track grants and awards received by faculty; record and track faculty committee membership and oversee voting.

 

Required:

  • High school diploma/GED
  • 2 years of experience in a clerical or administrative support role
  • Excellent customer service, verbal, and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, and meet deadlines
  • Maintain student confidentiality while handling and distributing academic materials
  • Strong organizational and time management skills and attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to identify routine problems and implement or recommend solutions

 

Preferred:

  • Knowledge of Purdue systems (Concur and SuccessFactors)
