Administrative Assistant

Job Summary

The Administrative Assistant will provide high quality administrative support to the Animal Sciences Graduate and Undergraduate Programs, including assisting the Graduate and Undergraduate Program Coordinators, Graduate and Undergraduate Program Committee Chairs, Advising Coordinator and Staff Advisors, as well as providing relations for students and external contacts. The administrative assistant will serve as a receptionist for the Student Service Suite, and is responsible for greeting students/guests, responding to potential student emails and providing information to prospective students. This individual will need to be able to anticipate needs, proactively plan ahead, and manage multiple tasks while meeting deadlines, and maintaining attention to detail and professionalism. Additional duties will include but are not limited to:

 

  • Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes
  • Compose routine correspondence and draft non-routine correspondence
  • Proofread various documents, reports and presentation materials
  • Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment
  • Assist with small event coordination, including room reservations, setups, resource needs, and catering
  • Update and maintain mailing lists, databases and websites
  • Assist with workflow systems and scholarship organization
  • All other duties as assigned

Required:

  • High school diploma/GED
  • 2 years of experience in a clerical or administrative support role
  • Excellent customer service, verbal, and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Typing, drafting, filing, data entry, proofreading and editing skills
  • Ability to identify routine problems and implement or recommend solutions
