Job Summary
The Administrative Clerk will collaborate with the Executive Secretary for Indiana State Dairy Association (ISDA) and General Manager for Creamery License Division. In this role, you will be responsible for payment processing, accounting, financial statements, communication with internal & external constituents, license renewal & processing, and payroll assistance.
What You'll Be Doing:
- Recording and depositing accounts receivable for ISDA
- Documenting payments in database for CLD
- Preparing deposits and CRV’s for CLD
- Entering accounts payable for ISDA
- Mailing/emailing accounts receivable for ISDA
- Corresponding with herds as needed regarding payments and collection of past due amounts
- Processing license applications and payments
- Maintaining comprehensive registration database
- Processing and mailing licenses annually
- Compiling requested materials for ISDA’s annual financial review
- Compiling quality control audit materials for ISDA’s annual audit
- Working with producers and ISDA employees to compile required materials
- Processing employment paperwork for new ISDA employees
- Entering approved health reimbursement requests in payroll
- Entering wages for select ISDA herds
- Receiving incoming calls from producers and technicians and answer questions on accounting and herd records
- Entering test day data for herds and mail completed results
- Monthly financial statements
- Recording and preparing minutes of CLD board meetings
What We're Looking For:
- High school diploma/GED
- 3 years’ (combined) experience in customer service, minor bookkeeping and payroll
- Basic computer skills with a good working knowledge of spreadsheets and a financial software package, such as QuickBooks
- Good verbal and written communication skills
- Organizational and time management skills
- Ability to work without supervision
