Job Summary
The Study Abroad Department is seeking an Associate Administrative Assistant. Under direct supervision, you will provide general administrative support for the department by serving as the first point of contact, drafting routine correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers and visitors. In addition, you will assist with various other support functions as needed.
What You'll Be Doing:
- Answering telephones and giving information to callers, taking messages, or transferring calls to appropriate individuals
- Greeting visitors/callers and handling their inquiries or directing them to the appropriate persons according to their needs (e.g. Departmental Study Abroad Programs, Exchange Programs, Etc.)
- Receiving and responding to routine correspondence including all formats of Study Abroad
- Maintaining organizational files and records including student applications
- May ensure proper functioning of office equipment, such as fax machines, copiers, phone systems and arrange for repairs when equipment malfunctions
- Distributing incoming and outgoing mail
- Scheduling routine meetings
- Maintaining physical appearance and cleanliness of public spaces
- Making copies of printed material
What We're Looking For:
- High school diploma/GED
- 1 year of experience in an administrative support, customer service, or clerical role
- Excellent customer service, verbal, and written communication skills
- Ability to handle frequent interruptions, balance multiple tasks, and maintain confidentiality
- Strong organizational skills and attention to detail
- Computer and related software skills to include Microsoft Suite, Outlook, Internet, etc.
- Typing, drafting, filing and data entry skills
