Associate Administrative Clerk / Administrative Clerk

Job Summary

This position represents a dual-level posting and will be filled as an Associate Administrative Clerk or next highest level.  The hiring manager will determine the job level based on the skills, experience, and qualifications of the selected candidate.

 

The successful Associate Administrative Clerk will manage new project creation for construction projects.  Process professional services contracts for projects.  Create Front End documents for specifications, review final review construction documents (FRCD) for consistency and completeness. Publish drawings and specifications in Procore.  Manage and process all submittals, shop drawings, Requests for Information, Architectural Supplemental Information (ASI), CAD, Revision Drawings and Punchlists related to assigned projects.  Provide information and training to contractors and Architecture/Engineering (AE) firms regarding processes for submitting documentation.  Track and process all Closeout documents.  Process construction related regulatory permits. Purge/prepare documents for scanning throughout the life of the project.  

Associate Administrative Clerk

Required: 

  • High School diploma/GED 
  • Two years office experience 
  • Skills in Microsoft Word, Excel, and Outlook 
  • Must have excellent organizational skills
  • Ability to handle interruptions, balance multiple and varied tasks, work under pressure, prioritize and meet deadlines
  • Will handle confidential information with discretion and work independently as well as part of a team
  • Good judgment and organizational and time management skills are essential
  • Strong customer service skills with the ability to communicate at all levels are 
  • Must be professional, poised and self-assured when representing the department and interacting with a diverse group of individuals both internal and external to the University
  • Ability to lift and carry up to 10 pounds frequently and up to 20 pounds occasionally

Preferred:

  • Previous construction or University experience 
  • Skills in Procore construction software and Adobe DC 

 

Administrative Clerk

Manage new project creation for all construction projects – G drive and IHC Worksheet. Process professional services contracts for projects assigned. Create Front End documents for specifications, review FRCD documents for consistency and completeness. Publish drawings and specifications in Procore. Manage and process all submittals, shop drawings, Requests for Information (RFI), Architectural Supplemental Information (ASI), CAD files, Revision Drawings, Meeting Minutes, Reports, Punchlists, Close-out documents, etc. for all construction projects. Provide information and training with regard to processes and software to outside vendors. Participate in the resolution of contractor bid discrepancies in order to award a construction contract. Process and track construction related regulatory permits. Maintain current project drawings on the Plan Rack. Manage files/folders and staff/vendor access to the Physical Facilities Purdue Box account (used to transfer construction documents and drawings). Purge/prepare documents for scanning throughout the life of the project.

Required: 

  • High School diploma/GED 
  • Three years office experience 
  • Ability to work with limited supervision
  • Skills in Microsoft Word, Excel, and Outlook
