Job Summary

The Associate Manager of Theses & Dissertations will manage the daily operations related to thesis/dissertation processes, including approving forms, modifying academic records, assessing fees, conducting format reviews, approving deposits on behalf of the Office of Graduate Students and Postdoctoral Scholars, and overseeing long -term thesis/dissertation storage protocols.  This individual will also conduct seminars and workshops on copyright information and on electronic submission and acceptance of theses and dissertations, as well as supervise one full-time staff member who will assist with deposit processes.  This role will serve as the primary liaison for regional campus staff related to deposit processes and procedures, as well as run reports, and manage, manipulate, and format data for use in decision making processes.  Design and implement process enhancements in these areas to improve staff and student experience.  Handle requests, sometimes complex and nuanced, from heads of graduate programs, directors of graduate studies, graduate contacts, and graduate students related to thesis/dissertation processes.  Ensure data handling compliance with all aspects of the thesis/dissertation area, including adherence to FERPA, Export Control protocols, and other relevant standards.  Address requests for exception and appeals to graduate policies, conferring with the Director as needed.  Make independent decisions regarding process improvement efforts.  Review vendor contracts, benchmark with peer institutions, and provide formal data driven recommendations.

What We're Looking For:

  • Bachelor's Degree in Communication, Technology, Business, education, or a related field
  • Three years of administrative office experience
  •  Consideration will be given to an equivalent combination of required education and related work experience
  • Excellent oral/written, interpersonal communication skills
  • Strong problem solving and organizational skills along with ability to prioritize, forecast, and monitor tasks and workloads
  • Outstanding ability to manage multiple priorities and work to meet strict deadlines using own initiative
  • Ability to pay close attention to detail with a commitment to quality and ability to maintain strict confidentiality
  • Advanced computer skills related to importing and exporting files and data management
  • Ability to troubleshoot technical problems, interpret policy and make decisions using resources learned and sought if necessary
  • Ability to work effectively with diverse groups of people and to foster and maintain an effective team work environment as well as an open, inviting atmosphere 

What Is Helpful:

  • Experience with database systems and query development
  • Experience with LaTex
