Job Summary

Senior role for managing all procurement activities within the Athletics Department. Subject matter expert for all of the department’s payable activities including ARIBA, Direct payment processing, credit card usage, sole proprietors, and new vendor set up process.  Responsible for a large quantity of vendor invoice processing. Coordinates payments thru Purdue Research Foundation, made on behalf of the department. Knowledgeable of SAP system to produce excel financial reports to assist staff who oversee budgets. First point of contact with other business units or other areas on campus for any procurement/payable questions.

What You'll Be Doing:

Procurement/Purchasing

Serve as subject matter expert for all activities. Assist all department staff with day to day needs of purchases, including using the correct method of payment.  Process direct invoice vouchers using the Payment Works system, when needed, and is the department’s point of contact for the Payment Works system. Main contact for placing ARIBA and Amazon orders and is the department liaison with Central purchasing. Maintain GR/IR reports. Make and recommend changes to processes to solve problems or improve efficiencies in the area.

 

Financial Management

Prepare budget reports for the Facility areas in Athletics. Run other expense reports for other areas upon request and help staff understand types of expenses hitting their budget categories and help correct discrepancies.

 

Purdue Research Foundation

Process PRF payments and reimbursements.  Gather PRF credit card documentation, prepare account distribution/reconciliation and forward to PRF.

 

Accounts Receivable/Billings/Deposits

Set up vendors in A/R and process invoices.  Bill student-athletes in the Banner system.  Deposit miscellaneous checks using check scanner and claim unclaimed ACH payments.

 

Other Duties as assigned, including but not limited to: request Certificates of Insurance; approve Concur team travel reports for assigned teams; serve as backup to other business office staff.

What We're Looking For:

Education and Experience:

  • High school diploma/GED
  • Four (4) years of business office experience 

 

Skills needed:

  • Experience in ARIBA and SAP
  • Proficient with Microsoft Office, in particular reporting functions of Excel
  • Strong organizational and time management skills with emphasis on accuracy and attention to detail
  • Motivated individual with ability to efficiently multitask, work under pressure, handle frequent interruptions, prioritize workload, and meet deadlines
  • Must demonstrate a willingness to learn new processes/technology and use own initiative to explore capabilities to enhance productivity and assume responsibility
  • Excellent written and verbal communications skills with the ability to explain policies and procedures to staff and provide training to others
  • Ability to identify problems, analyze information, and implement solutions
  • Ability to work independently with limited daily supervision
  • Ability to analyze, interpret and implement University policies and procedures
  • Must adhere to and comply with Purdue University, Big Ten Conference, and the NCAA applicable policies, procedures, rules and regulations

 

Nice to Have:

  • Experience utilizing Ariba and SAP systems. 
  • University business office experience.
