Job Summary

The Coordinator of Football Operations plays a key role in supporting and advancing the daily administrative and operational functions of the football program under the direction of the Director of Football Operations. In addition, this position serves as a critical coordinator across team operations, logistics, communication, and internal processes and provides high-level  support to the Head Football Coach.

 

The Coordinator is responsible for ensuring effective execution, organization, and follow-through across multiple functional areas. This role contributes to operational planning, supports decision-making through preparation and communication, and helps maintain alignment across coaching staff, support units, and external partners. The position requires sound judgment, initiative, discretion, and the ability to manage complex priorities in a fast-paced, high-performance environment.

What You'll Be Doing:

Football Operations Coordination & Process Management

  • Coordinate daily football operations in alignment with the Director of Football Operations, ensuring seamless execution across all operational areas.
  • Oversee and maintain critical operational systems (e.g., Teamworks, internal tracking systems, player records, alumni communications), ensuring accuracy, consistency, and compliance.
  • Serve as a central communication hub across football operations, strength & conditioning, sports medicine, equipment, recruiting, and administrative units. Academics.
  • Identify, develop, and implement process improvements to enhance efficiency, communication flow, and operational consistency.
  • Participate in the coordination of preseason camp logistics, in-season operations, and offseason programming support.
  • Support Director of Football Operations with Staff Turnover and Onboarding.

 

Team Travel & Logistics Execution

  • Coordinate assigned components of Football team travel logistics, including lodging coordination, transportation schedules, itineraries, and operational timelines.
  • For all home and away contests, advance travel to team hotel to ensure the needed preparations are ready for the arrival of the football team i.e. Players rooms, meeting rooms, finalizing menus for meals, transportation locations, 
  • Provide on-site leadership support during travel, ensuring adherence to schedules, policies, and operational expectations.
  • Serve as a point of contact for vendors, host institutions, and travel partners to ensure execution aligns with program standards.
  • Participate in managing ticket operations, team meals, per diem distribution, and post-game logistics.
  • Support budget tracking related to travel and logistics in coordination with Football Operations leadership.
  • Participate in operational Bowl Game Planning. Staff Spouse Liaison. 

 

Executive Operations & Strategic Support to Head Football Coach

  • Manage and prioritize the Head Football Coach’s daily and long-term calendar, including team & staff meetings, recruiting travel, and program-related obligations, ensuring alignment with program priorities.
  • Anticipate scheduling conflicts, assess competing priorities, and independently recommend solutions to optimize the Head Coach’s time and efficiency.
  • Serve as a key liaison between the Head Coach and internal/external stakeholders, ensuring proactive, professional, and timely communication B1G
  • Draft, edit, and coordinate high-level correspondence, presentations, and briefing materials for all Head Football Coach Speaking Engagements.
  • Prepare agendas, background materials, and strategic summaries to support leadership meetings, recruiting discussions, and program initiatives.
  • Track and follow up on action items from meetings to ensure accountability and completion.
  • Oversee Head Football Coach private charter travel and air mileage logs 
  • Host media members for Head Football Coach interviews. 

Event, Recruiting & Game Day Operations

  • Coordinate operational logistics for recruiting visits (official and unofficial), game day functions, alumni events, Pro Day, Women's Clinic and special events.
  • Manage timelines, materials, and communication to ensure a high-level, detail-oriented execution of all events.
  • Partner with recruiting, operations, and external stakeholders to ensure alignment in visit experiences and event delivery.
  • Assist in developing standardized processes and checklists to enhance consistency across events and recruiting operations.
  • Coordinate operational logistics for Football Camps
  • Assist Player Personnel Department with NFL / CFL hosting, parking, credentials. 

 

Financial Coordination, Reporting & Special Projects

  • Support budget tracking, expense reconciliation, and financial documentation to ensure accuracy and compliance.
  • Compile operational reports, travel summaries, and internal tracking documents to support leadership decision-making.
  • Lead or support assigned special projects, including research, benchmarking, and program initiatives.
  • Coordinate cross-functional information gathering and ensure timely distribution of key operational updates.

What We're Looking For:

Education and Experience:

  • Bachelor’s degree required.
  • 1 year of experience in collegiate athletics, football operations, or administrative support role 
  • Experience supporting senior staff or executives is a plus.

 

Skills needed:

  • Strong organizational and time management skills with ability to manage multiple priorities.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced, team-oriented environment with shifting priorities.
  • LIMITED PHYSICAL ACTIVITY: Lift and carry up to 10 lbs. frequently, and up to 20 lbs.
