Executive Assistant to the Department Head

Job Summary

As the Executive Assistant to the Department Head, you will provide a wide range of administrative support for the Computer Science Department Head. You will serve as a liaison with multiple contacts internal and external to the University.  This position will facilitate communication, plan events, draft and edit various documents, schedule meetings, and manage the executive’s calendar. 

The Executive Assistant to the Department Head will independently manage the faculty recruitment and hiring process, coordinating with other units as required, include being the liaison with Office of Institutional Equity (OIE), appropriate placement of the ads, and organizing all interviews for all stages of the faculty candidate interview process. This position independently manages the promotion and tenure process annually for all tenure-track faculty and Professors of Practice within the department, organizing assistant and associate professor annual reviews, and coordinating courtesy faculty appointments. The Executive Assistant to the Department Head also oversees the International Students and Scholars (ISS) visa and permanent residency processes for all faculty, postdocs, and visiting scholars, and supervises 2-3 other departmental administrative support staff who assist with these tasks.

 

What We're Looking For:

Education and Experience:

  • Bachelor’s degree in Communications, Business Administration, Management, or a related field
  • Some experience in a senior or lead administrative support role or equivalent experience
  • An equivalent combination of education and experience may also be considered


Skills Needed:

  • Excellent written, verbal, and interpersonal communication skills
  • Strong organizational and time management skills and attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needs
  • Skilled interpreting policies and procedures to proactively resolve issues
  • Ability to:
    • identify problems, generate ideas for improvement, and implement or recommend solutions
    • use discretion and independent judgement to make sound decisions balancing facts, priorities, and possible outcomes
    • use discretion regarding when to involve the senior leader or Executive when to resolve issue indecently, or when to engage others
    • handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
