Graduate Program Administrator

Job Summary

The Graduate Program Administrator works under immediate supervision to directly support the Agronomy faculty, staff and graduate students while managing the in-residence graduate programs in the Department of Agronomy. This position serves as advisor to the approximately 60 graduate students enrolled in the department’s graduate degree programs which include PhD and MS in plant breeding and genetics, soil science, hydrology, plant physiology, modeling and climate.

What You'll be Doing:

  • Advising on plans of study, required and elective courses, registration, career planning, and other curricular and academic matters
  • Monitoring academic progress of graduate students in coursework, preliminary and prospectus examinations, and dissertation/thesis research, and report to students, graduate director, and business office on outcomes
  • Following established processes, conducts preliminary and final audits of student records for graduation
  • Working with prospective students to ensure complete applications, coordinating prospective student and company site-visits and initiating/maintaining on-going contact with prospective students and alumni
  • Collaborating with the head, associate head and faculty to manage, implement changes, and enhance the department’s graduate programs
  • Coordinating and managing the admissions processes for the graduate admissions committee(s)
  • Coordinate events, conferences, graduation, orientation, etc.  as they relate to the grad program
  • In collaboration with the Graduate Program Chair, brainstorm, develop and implement marketing strategies and communication plans for graduate activities to further grow the graduate program in Agronomy
  • Directing a coordinated recruitment and marketing program for the department’s in-residence graduate programs through web, print, and in-person visits
  • Serve as the liaison between the business office, grad school and the Grad committee as well as between faculty and current/perspective grad students
  • Using predetermined processes, creates R4P’s for new visitors on the Ag Employment website and terminates the visitor when the duration is complete, reviews and processes international documents, maintains the ISS database system and uploads documents and e-forms and reaches out to prospective visitors and faculty for responses when needed

What We're Looking For:

  • Bachelor’s degree
  • 1 year of experience related to higher education, program coordinating and/or graduate program recruiting and management
  • In lieu of degree, an equivalent combination of education and experience may also be considered (Associate's + 3 years; HS/GED + 5 years)
  • Ability to travel (domestic and international) as much as 10%
  • Knowledge of university regulations
  • Ability to work independently and handle management responsibilities
  • Strong organizational skills
  • Strong communication and interpersonal skills for working relationships with prospective students, alumni and faculty

Nice to Have:

  • Experience with event management and implementing multiple projects to successful completion
  • Experience working in higher education, business school, corporate roles or management education
  • Knowledge of Purdue University
