Graduate Program Administrator

Job Summary

The Graduate Program Administrator is responsible for the administration and operation of the graduate program in the School of Aeronautics and Astronautics (AAE).  The administrator reports directly to the Associate Head for the Graduate Program and serves in several key roles. 


The administrator serves as:

  • an ex-officio member of the Graduate Committee
  • an advisor to the Graduate Committee
  • the graduate admissions official
  • an advisor to prospective graduate students and faculty on matters related to admissions
  • the day-to-day liaison with the Graduate School in regards to admissions, assistantships and fellowships
  • an assistant for the recruitment process for high quality graduate students
  • a resource for the Development Director to manage fellowships and pursue internal and external scholarship and fellowship opportunities
  • a resource for the Associate Head during the teaching assistant (TA) selection process
  • the manager for TA and grader tracking, employment, and evaluation
  • an assistant to the Associate Head to define, develop and improve policies, processes and procedures related to admissions, teaching assistantships, fellowships and graduate student awards. 


Additionally, the administrator documents, reviews and improves current operating procedures; reviews the AAE website and works with the web developer to improve communication with prospective and current graduate students on issues related to admissions, assistantships and fellowships; works with the Aero Assist Student Organization in organizing and advertising their activities; coordinates efforts with the other Graduate Program Administrator; and assists AAE staff with department events as needed.



  • Associate's degree
  • Four (4) years of program or project management experience
  • Consideration will be given to an equivalent combination of related education and required work experience
  • Excellent oral and written communication and interpersonal skills to effectively work with a diverse group of students, administrators, faculty and staff
  • Strong customer service and problem solving skills
  • Strong time management and organizational skills to manage and execute multiple projects on time
  • Ability to work independently and make decisions requiring sound judgment
  • Analytical and integrative skills to work with complex processes across disciplines and academic units 
  • Proficient with common business software including Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to handle confidential information with discretion
  • Ability to compose correspondence



  • Bachelor's degree in a field relevant to the position
  • Academic graduate program administration experience
  • Familiarity with graduate level academics, procedures, policies and admissions at Purdue University
