Lead Administrative Assistant

Job Summary

The Lead Administrative Assistant will support the Scalable Asymmetric Lifecycle Engagement (SCALE) program, which is a workforce development project in microelectronics funded by the Department of Defense. Specific activities will include organizing SCALE program activities (e.g., responding to third-party inquiries, coordinating SCALE faculty/staff schedules, creating meeting invites, and sending due date reminders). Coordinate hiring and training of student workers; supervise student workers to assist in the execution of SCALE project tasks. Will also help support SCALE students in the program by organizing and disseminating meetings and other events for their benefit, and responding to individual inquiries (or referring to appropriate faculty/staff). This position will be a part of Birck Nanotechnology Center within Discovery Park.
 

Required:

  • High school diploma/GED
  • Minimum of four (4) years of experience in an administrative support role
  • Excellent written, verbal and interpersonal communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
  • Ability to lead others and provide direction and constructive feedback

 

Additional Information:

  • This position has a limited duration of one (1) year with continuation dependent upon additional grant funding. Benefits do apply

  • This was formerly classified as an operational/technical position; an internal lateral transfer will retain same benefit standing
  • FLSA: Non-Exempt (Eligible For Overtime)
