Operations Administrator, Associate

Job Summary

 

This role will manage day-to-day operations for the Purdue Veterinary Hospital (PVH) Administration Office, and will be primarily focused on interpreting and conveying University and federal policies and procedures. This involves planning operational objectives related to position/vacancy management, data management, inventory, travel, or general administrative tasks within PVH. This person can expect to facilitate communication between multiple departments within the University as well as external constituents.

 

  • A key function of the role will be developing, maintaining and tracking position reports for filled and vacant positions within PVH. This will involve drafting job descriptions, setting up and coordinating search committees, overseeing interview process, and coordinating semi-monthly onboarding for new hires. 

 

  • There is also an expectation to perform non-routine administrative functions such as: conducting research, preparing reports and presentations, responding to information requests, and managing correspondence. Using this data the coordinator will organize annual section reviews, create comprehensive hospital-wide reports from those section reviews, and maintain processes for follow-up throughout the year on stated goals and progress.

 

  • Respond to non-routine inquiries and issues from internal and external sources; draft and edit correspondence. Develop streamlined processes to assign requests from a multitude of stakeholders through various reviews, approvals and follow-ups.

 

  • Develop, implement, and maintain/improve processes related to administrative support operations (e.g., records maintenance, data collection and maintenance, etc.) to ensure compliance with University policies and procedures. Maintain and update hospital approved policies. Set office schedule and ensure availability during normal business hours. Manage after-hours on-call scheduling.

 

Required: 

 

  • Bachelor's Degree
  • Excellent written, verbal and interpersonal communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
