Job Description
The primary role of the PGSG Bookkeeping Assistant position is maintaining precise financial records, organizing receipts and reimbursements, assisting in reconciliation, and tracking inventory at PGSG. The goal of this position is to give students valuable real-world experience in a finance and operations-focused environment. This position should work 8-12 hours per week during the current semester. Those hours may be worked in any combination, at the discretion of the direct supervisor. The PGSG Bookkeeping Assistant position must be reliable, organized, responsible, and flexible. They must also be ambitious, detail-oriented, creative, and driven.
Qualifications and Responsibilities
Prerequisite(s)
The ideal candidate will be knowledgeable in basic financial principles, Microsoft Excel/Google Sheets, and digital file management. Experience with university spending systems (SAO, BOSO) or inventory tracking is a plus.
Qualifications
• High school diploma or equivalent and a minimum of one semester of college coursework successfully completed
• Must be actively enrolled at Purdue University.
• Previous work experience within financial record-keeping or clerical work is preferred.

Position Responsibilities
• Digitally archive receipts, invoices, and financial records
• Assist in monthly reconciliation of PGSG spending with BOSO records
• Maintain up-to-date expense spreadsheets and financial summaries
• Ensure expense approvals are documented (via emails, meeting minutes, or polls)
• Track and log purchased item inventory; maintain signed distribution acknowledgments along with the Senior Admin Assistant and the committee.
• Cross-reference transactions with PGSG line-item budgets and note any discrepancies
• Help prepare financial reports for PGSG Senate and Executive Board meetings
• Maintain confidentiality and exhibit professional conduct when handling sensitive information
• Exhibit friendliness, diplomacy, and tact in responding to graduate students
• Handle emergency situations and prioritize responsibilities while continuing to provide the highest level of customer service
• Serve and participate in committees within the division to provide feedback from a student lens
• Present ideas to the division senior leadership as identified
• Responsible for all scheduled shifts (based on class/exam schedules for the semester)
• Must attend all scheduled staff meetings to gain and/or share pertinent information
• Other duties as assigned
