Job Summary

In the Department of Purdue Musical Organization, Plan and execute a calendar of performances, travel and events that supports departmental goals and vision. Provide exceptional customer service while serving as the first and primary point of contact for all department-planned and hired performance bookings, domestic travel tours, and special events. Tasks include, but are not limited to, facility rentals and contracts, itineraries and timelines, transportation, meals, accommodations, ticketing, ushers, pre- or post-show activities. Develop and effectively negotiate contracts, estimate and manage event budgets, manage expenses and payments, coordinate technical details of concerts in conjunction with musical directors, maintain database of concert sponsors and prospects. Manage arrangements for campus, community, donor, and alumni events, including ensemble anniversaries and occasional recruitment/marketing events, serving as on-site manager during all events and resolving issues that arise with venues, catering, guests, hosts, audio-visual needs, etc. Coordinate constituent communication timelines with marketing and communications manager and external relations team. Complete other administrative duties such as updating calendars, drafting emails or invitations, editing materials. Support international travel tour planning.

What We’re Looking For:  

  •  Bachelor’s degree in hospitality management, event planning, communications, or performing arts or related field. 
  • A minimum of 2-3 years of experience in event planning, hospitality management, communications, project management, marketing or other related experience. 
  • An equivalent combination of education and experience will be considered. For example, an associate’s degree and 4-5 years of experience or high school diploma/GED and 6-7 years of experience.

    

Skills needed:

  • Excellent communication, organization, project management, problem-solving, budgeting, and customer service skills. 
  • Demonstrated ability to be creative, make decisions independently, be team-oriented, build consensus, and drive positive results within and across organizational boundaries and in a variety of specialty areas. 
  • Ability to work with minimal supervision, prioritizing work to meet deadlines and produce high quality results with attention to detail. 
  • Ability to work with a wide variety of people to create a positive experience that meets both short-term and long-term goals. 
  • Ability to represent the university and department with tact and diplomacy at all times. Personal computer skills and related software skills (word processing, spreadsheets, internet, etc.) 
  • Ability to travel and perform weekend duties as the job requires.
