What You’ll Do
- Serve as the main office hub, supporting faculty and staff with purchasing, calendar management, scheduling, and program operations
- Lead logistics for hiring and onboarding post-docs, visiting professors, and staff in Success Factors
- Act as liaison for International Students and Scholars, ensuring a welcoming and efficient experience
- Manage the department website, digital monitors, and create engaging fliers for seminars and events
- Coordinate logistics for research seminars, graduate open houses, alumni award events, and more
- Provide executive administrative support, including conference room scheduling (UniTime), office supply orders (Ariba), and credit card requests
- Supervise and mentor other support staff, and serve as lead for assigned programs or special projects
- Draft and edit correspondence, promotional materials, and presentations
- Monitor the department’s operating budget and maintain accurate financial records
- Tackle non-routine inquiries and issues from both internal and external sources

What We're Looking For:
Education and Experience Needed:
- Requires a High School Degree or High School Equivalency (HSE)
- Minimum of four (4) years of experience in an administrative support role
Preferred:
- Experience with Success Factors and UniTime
Skills Needed:
- This position requires self-discipline, the ability to take the initiative and work without direct supervision
- Must have exceptional customer service practice
- Excellent written, verbal and interpersonal communication skills
- Capable of taking initiative, assuming responsibility and maintaining confidential materials with discretion and professionalism
- Proficiency in Microsoft Word, Excel, PowerPoint, Qualtrics, Outlook
- Strong organizational and time management skills and attention to detail
- Drafting, proofreading and editing skills
- Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
- Ability to:
- handle frequent interruptions, balance multiple tasks, and meet deadlines
- collaborate with and communicate with individuals at all levels within and external to the university to support department needs
- interpret policies and procedures to proactively resolve issues or improve processes
- identify problems and implement or recommend solutions
- lead others and provide direction and constructive feedback
