Senior Administrative Assistant

About Our Opportunity:

This position will be filled as a Senior Administrative Assistant or an Administrative Assistant. The hiring manager will determine the job level based on the skills, experience and qualifications of the selected candidate.

Job Summary

As the Senior Administrative Assistant, you will support undergraduate Agriculture student career services, scholarships, and general event coordination. Through careful planning and thoughtful communication, you will coordinate data reports, prepare correspondence to students, staff and partners, and provide support for various events and programs as needed to serve the goals and initiatives of College of Agriculture students, staff, faculty, and the Office of Academic Programs as a whole. Additional duties will include: 


  • Provide administrative and logistical support for Assistant Directors in the Office of Academic Programs
  • Assist with the collection and entry of scholarship, career, and other student data; prepare data reports using Excel and other software/tools 
  • Maintain and update website content for web pages and online databases related to position
  • Plan, coordinate, and provide support for events (career fairs, callouts, special meetings, etc.), including promoting events, reserving space, ordering catering, arranging travel, coordinating with vendors, soliciting volunteer help, etc. 
  • Create and maintain communications such as informational or promotional graphics/materials, meeting agendas and notes, presentation materials, newsletter copy, or other communications within and external to the College of Agriculture
  • Arrange travel for Assistant Directors upon request; reconcile travel expenses using Concur
  • Maintain awareness and compliance of fiscal and administrative procedures
  • Collaborate with individuals within department, College, and University for various events, programs, initiatives, etc.
  • Identify, recommend, and execute procedural improvements related to position or department
  • Be punctual and dependable to provide backup coverage for the front desk and be available to address planned and unplanned situations
  • Collaborate and communicate with team members frequently to complete goals, ensure office coverage, and solve problems as they arise
  • Provide occasional backup for other support staff positions
  • May have some supervision of student assistants
  • Other duties as assigned by the Associate Dean & Director of Academic Programs


Senior Administrative Assistant:

  • High School Diploma/GED 
  • 3 years of experience in an office administrative support or secretarial role
  • Proficient in Microsoft Office software, including Outlook, Word, Excel, and PowerPoint
  • Strong written and oral communication skills to effectively support the department and customer needs
  • Strong interpersonal skills to collaborate effectively within the department and to address customer needs
  • Ability to manage multiple tasks while meeting deadlines and maintaining accuracy
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to balance interruptions and maintain confidential information with discretion
  • Ability to identify problems and implement or recommend solutions
  • Ability to influence and build work relationships among a diverse workforce at all levels
  • Drafting, proofreading and editing skills


Administrative Assistant:

  • High School Diploma/GED
  • Two years of experience in a clerical or administrative support role
  • Excellent customer service, verbal and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills with attention to detail
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Typing, drafting, filing, data entry, proofreading and editing skills
  • Ability to identify routine problems and implement or recommend solutions
  • Drafting, proofreading and editing skills


Additional Information:

  • Purdue will not sponsor work authorization for this position.
  • A background check is required for employment in this position.
  • This was formerly classified as an operational/technical position; an internal lateral transfer will retain same benefit standing.
  • FLSA:  Non-Exempt (Eligible for Overtime)
