Job Summary

Provide high-level administrative support for the VP of Human Resources as well as Human Resources senior leadership.  This blended role also provides the opportunity to support the delivery of HR Business Partner and Benefits Services as an HR Coordinator.  Serve as a liaison with University-wide staff and external constituents independently interpreting and resolving matters through knowledge of university policies and procedures.  Coordinate and execute short-term projects.  Gather data and provide an initial analysis for further review.  This role requires a high level of discretion and the ability to maintain strict confidentiality in handling sensitive information and communications.

Duties & Responsibilities

  • Provide support to the VP of HR serving as a liaison with University-wide staff and external constituents.  Understand and explain University policies and procedures and respond to inquiries.  Manage VPHR calendar and travel arrangements.  Compile background materials for meetings, events, and outside engagements.  Provide advance planning for the Vice President for upcoming reports, agenda items, and other office activities.  Contribute to special projects as needed.
  • Provide support to HR senior leadership and overall department support in coordinating large meetings and events, preparing reports and support materils.  Serve as the Technical Coordinator for Human Resources, facilitating communication regarding IT updates and issues, as well as coordinating hardware and software procurement.
  • Coordinate and execute short-term projects for benefits and HR business partner functions.  Coordinate HR onboarding and offboarding processes and administer the tracking system.  Serve as the HR Onboarding Coordinator, managing new hire onboarding, equipment logistics, and introductory meetings.  Oversee offboarding and update internal platforms, including Teams, HR website, staff email group, and CUPA-HR memberships, to reflect staffing changes.  Enter employee relations cases in Maxient.  Pull reports and provide an initial analysis from SuccessFactors, Cognos, Maxient, etc.  Coordinate Purdue's annual employee and retiree recognition programs by providing data and working with the vendor.  Coordinate HR's Talent Share program.
  • Serve as administrative support and liaison to the Purdue Retirement Planning Committee and Purdue University Retiree Association, including but not limited to, coordination of meetings and spaces, meeting minutes and materials, and event coordination.  Collaborate with the Office of Legal Counsel to provide requested employee records, including personnel and employee relations files.

What We're Looking For:

  • Bachelor's Degree in Business, Communications, or a related field
  • Six or months of experience providing high-level administrative support for programs or projects
  • Consideration will be given to an equivalent combination of required education and related work experience
  • Excellent verbal and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to identify problems and implement or recommend solutions
  • Ability to gather and analyze data to identify trends and propose a course of action based on findings
