Senior Business Assistant - COE Employment

Job Summary

The College of Engineering is looking for someone with a willingness to learn and use their own initiative to explore capabilities to enhance productivity and assume responsibility for becoming its next Employment Business Assistant. As the Senior Business Assistant for, you will be responsible for and serve as the unit's key point of contact on all payroll-related guidelines, policies, and procedures for assigned areas. Responsible for the operations center’s monthly/bi-weekly payroll tasks.  Interact with the DFA, Associate Deans, Department Heads, and Administrative Assistants to ensure the correct processes are followed. Prepare and submit appropriate documents to assist in the onboarding process for new employees. Serve as a point of contact for all payroll and other related questions while assisting departmental faculty, staff, and students with payroll needs. Act as a liaison between customers and central offices. Serve as a departmental resource person to train and assist staff with payroll processes and resolve situational problems. Utilize the Footprints tracking system to manage workflow.  Responsible for formal training and mentoring duties.

This position could be filled at multiple levels (S3 or S4). The hiring manager will determine the job level based on the skills, experience, and qualifications of the selected candidate.

 

This position is hybrid with up to 50% at home and 50% in-office, based on the candidate’s location and interest.

 

Required:

  • High school diploma / GED 
  • Four years of payroll experience
  • Must have experience in providing a high level of customer service
  • Demonstrated ability to identify problems, analyze information and implement solutions 
  • Capable of taking initiative, assuming responsibility, maintaining quality standards, and handling confidential information with discretion 
  • Strong organizational and time management skills with emphasis on accuracy and attention to detail
  • Ability to influence and build work relationships among a diverse workforce at all levels 
  • Must be extremely flexible and adaptable to constantly varying work environments and with limited daily supervision 
  • Demonstrated ability to analyze, interpret, and implement policies and procedures 
  • Ability to handle interruptions while meeting deadlines with accurate results and providing exceptional customer service
  • Must possess a learning orientation to changing technology 
  • Ability to problem-solve and analyze complex issues
  • Ability to provide coaching and training to others


 

Preferred:

  • Two years of university business office experience
  • Experience with SAP and Success Factors
