Senior Undergraduate Programs Assistant

Job Summary

The Senior Undergraduate Programs Assistant will provide high-level administrative support for an individual, group of professionals, department, program or other administrative function. In this role, you will administer bi-weekly analytical reports in Cognos for the Department Head and Academic Advisors of admitted freshmen and transfer students, maintain the freshmen database of confidential personal and academic information and process welcome and scholarship letters. In addition, you will maintain all undergraduate student records including setting up new student files, maintaining undergraduate student database of confidential personal and academic information and administer GPA reports to Undergraduate Committee.

Responsibilities:

  • Serve as primary support for AG Education Faculty and multiple ASEC Staff members
  • Develop, implement, and maintain /improve processes related to administrative support operations, arrange travel, order supplies, ensure proper functioning of office equipment
  • Perform non-routine administrative functions; prepare reports/presentations, respond to information requests, manage correspondence, update and maintain mailing lists, databases and websites
  • Serve as department Schedule Deputy creating and submitting Timetabling to coordinate the offering of courses in Banner for each term and preparing course memos, process grade reporting rosters in Cognos and keep grade data for all courses and schedule room assignments for department
  • Works with faculty to determine course size and keeps record of section enrollments throughout the year
  • Serve as the department's textbook coordinator
  • Coordinate and submit instructor course evaluations for each ASEC course
  • Provide guidance to all instructors in utilizing MyPurdue and Brightspace with entering grades, maintaining FERPA/GLBA, Final Exams, “Roll Call” Initial Course Participation Recordkeeping, and reviewing course rosters
  • Act as liaison between ASEC and AGAD to process changes to ASEC Course offerings and utilize Curriculog (Addition, Deletion and Modification of a Course) for new and current courses. Collect ASEC course syllabi
  • Assist in planning and-implementation of Department commencement activities
  • Maintain updates of data for the department reviews/teaching grants
  • Mentor and/or train other staff

Required:

  • High School diploma/GED
  • 3 years of experience in an administrative support role
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, Adobe, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading, and editing skills
  • Ability to adapt to change and willingness to learn new programs
