Event Coordinator (Turf Program)

Job Summary

The Turf Program and Event Coordinator will support the faculty, staff and students affiliated with the Turf Science Program and oversee daily operations of the Midwest Regional Turf Foundation (MRTF). The MRTF is an organization of > 400 members of the turfgrass industry which consists various industry segments (sports, golf, lawn/landscape turf and sod producers) who actively support fundraising for turf research and education at Purdue University. This position will serve as a liaison between the Turf Science faculty, alumni and MRTF Board of Directors in the coordination, planning, management, and implementation of educational and fundraising events, while providing faculty, staff, and student support related to all three mission areas: learning, discovery and engagement. Assist with other departmental activities as requested.

Responsibilities:

  • Support the MRTF treasurer and Finance Committee with accounting services, which include but are not limited to A/R, A/P, income statements and balance sheets
  • Develop and monitor annual operating budgets, which provide funding on campus for an endowment, research support and student scholarships
  • Facilitate MRTF committee operations by providing needed data and support to ensure productivity
  • Plan and manage 8-10 educational and fundraising events each year and coordinate arrangements for 20-2,000 attendees at each event
  • Oversee all event management including supervision of staff and students supporting the event while ensuring vendor and participant satisfaction
  • Develop and implement yearly marketing strategies and communication plans for educational and fundraising events and Turf Program activities
  • Manage trade show booth at various turf industry conferences and prepare promotional materials; oversee production/printing and distribution of programmatic literature
  • Maintain websites, social media and member and industry database of companies and individual contacts
  • Initiate, collect and assemble research summaries for the annual Purdue Turfgrass Science Annual Research Report
  • Serve as liaison with undergraduate and graduate students and alumni cooperators for the Turf Science Program
  • Assist with student recruitment, retention and engagement in Departmental activities (Turf club, Collegiate Quiz Bowl, career/internship opportunities, scholarships)
  • Foster alumni involvement by coordinating alumni communications and industry fundraising opportunities
  • Plan and implement alumni activities including development, special events and campus visits
  • Provide support for the turf faculty in all three mission areas - extension, research and teaching

Required:

  • BA/BS degree in Business Administration, Communications, Marketing or related field
  • 1 year experience in event planning, project management, not for profit association management or communications/marketing
  • Strong oral and written communication skills, responsive
  • Working knowledge to organize electronic files used for membership and record keeping (ie; Cvent, Quickbooks,etc.)
  • Capable of taking initiative, assuming responsibility and handling confidential information with discretion and professionalism
  • Motivated individual with ability to efficiently multi task, work under pressure, handle interruptions and meet deadlines
  • Efficient and systematic thinking with ability to make improvements in processes, systems and events to enhance the organizational mission
  • Exceptional interpersonal skills, collegiality and resourcefulness with the ability to influence, build work relationships and coach other employees assisting with event logistics
  • Strong organizational, planning and time management skills with an emphasis on accuracy and attention to detail
  • Ability to identify and determine problems, analyze information and implement solutions
  • Ability to work independently and collaborate in a team environment
  • Proficient in Microsoft Word, Outlook, Excel and Internet/web navigation (social media)
  • Periodic travel to local event sites
  • In-state travel and over-night stays (approximately 5 nights/year) with opportunities to travel regionally and nationally to industry conferences
  • A valid US or Canadian Driver’s license
